In your store settings, you can choose when orders are sent to production after they are sent through to Gelato. The default setting is instant automatic approval, where orders are instantly approved when received.
Checking your current configuration
You can check the current store setting after you:
- Go to Stores
- Select your store and then Edit store details
Only the orders for products connected to Gelato will be sent to Gelato API and go through this flow. Please ensure that your store is connected and that your products are added to Gelato (if you don't have any products) or migrated to Gelato (if you already have products).
Automatic and Manual workflow
As mentioned, the default option is instant automatic approval. The type of automatic approval can be adjusted based on your preference and needs.
You can also choose delayed automatic approval. This means your orders will be automatically approved after 6, 12, 24, 48, or 72 hours.

Order approval is set to 'Automatic' but I'm still asked to manually approve my orders. Why?
If you have placed your first order but have not provided company details, your order will still require manual approval although automatic order approval may be selected.
In order to produce your order, we need to have your billing data. This is known as 'Company details' in the Gelato Dashboard. You can update this by going to the Company Info page.
- Go to Settings
- Click on Company
- Provide basic company details
- Do not forget to save the changes!
Please note that the order with pending approval will need to be manually approved after the data is provided. You can see how to approve these orders in our article here.
